How To Send Multiple Emails In Gmail

Gmail is the most used email service in the world and, update after update, it offers more and more functionality for its users.

One of these, called Multiple sending is geared (along with custom layouts) specifically to sending marketing mail or a newsletter, a handy feature for some use cases and specifically reserved to paid users, initially on the plan Google Workspace Individual and then also to others.

But how Gmail’s multi-send mode works in 2022? Let’s find out, trying to see things, who can use them, and how to use them most effectively.

Who is Gmail’s multiple sending mode reserved for?

In 2021, the Great G. has extended Google Workspace for all users with a Google account.

This allowed all users to access the full experience of Workspace including Chat and Meet, what time, after the renewal of the web interface of Gmail.

The announcement a year ago, however, also decreed the arrival of Google Workspace Individual a floor reserved for professionals and small businesses, which offers premium services such as

  • marketing emails with customized layouts and the possibility of multiple sending which we are talking about in this article

Obviously, all of this comes at a price, which Google has placed exactly under its Business Standard plan of 10 dollars per month. Google Workspace Individual costs 8.33 dollars per month, which becomes 7.50 with the annual payment.

The function of multiple sending was initially reserved for the Google Workspace Individual plan, but as of August 2022, Google has expanded it to other plans.

As you can see, the plan is missing Business Starter from $ 5.20 per month, which in any case has an email with a custom domain and not Gmail (as in the Workspace Individual plan).

What is Gmail’s multiple sending mode: features and limits

Now that we have clarified who it is to reserve the mode of multiple sending of Gmail, let’s see things what are your features and (if any) its limits.

The function of multiple sending is meant for

  • Create email campaigns
  • To send newsletters and announcements
  • Personalize the email with the mail merge (a function that allows you to send messages via email in which there are various fields that change automatically depending on the list of addresses to which the message is sent)

With the mode of multiple sending when a person is added in the “To” field, this person receives the email individually And will not see the other people you sent the email to (as if you had sent a single email to one person and not a group). Also, you will receive the answers in thread separated, which simplifies the management conversations.

The other important features of bulk mailing are:

  • recipients will see in their email a link that allows them to unsubscribe or re-subscribe. You will be notified of these actions and if you include a recipient who has previously unsubscribed, they are automatically removed from the email.
  • there is no limit to the number of separate recipients that you can send every month.

That said, there are a few limits or at least features that should be kept in mind.

  • you can send an email to a maximum of 1,500 contacts at the same time
  • In the case of users, Google Workspace Businessmulti-send is available to external recipients by default
  • In the case of users, Google Workspace Enterprise Starter and later and accounts Education, multi-sending is limited to internal recipients by default
  • You can have only one recipient in the CC or BCC field and that recipient receives a copy of each email
  • The mode cannot be used Reply, Forward, Schedule, or Reserved when using multi-send.
  • If you add an attachment, the size of the attachment in each email is counted toward the storage space. To avoid this, share a link to the file in Google Drive.

How to send multiple emails in Gmail

Let’s see now how to use the mode of multiple sending in Gmail to create an advertisement or newsletter.

  1. Start a browser and go to the website of Gmail

Select the recipients

First, you need to select the recipients in the field “A”: you can type or paste them or use a list from Google Contacts.

In this case, you can create a label that clarifies the reason for the mailing list, and add contacts from Google contacts. If you want to add contacts to a label to use them like a mailing list in multiple sending, however, you must first do this:

  1. Go to the page of Google contacts Indicated above
  2. Click on Create Label
  3. Give it a first name
    • Drag your contacts into it
    • Or from the toolbar above the label, click on Manage labels (the label icon)

  1. In the sidebar, click on It matters to import a CSV or vCard file of external contacts
  2. From the window of import select the custom label, you want to apply to each imported contact.

At this point, returning to Gmail and composing a multiple-send email, after selecting the Recipient field a pop-up window will open allowing you to choose your contacts or label.

As anticipated in the previous paragraph, you can add up to 1,500 recipients in the “A” field and a maximum of 1 recipient in the “Cc” or “Bcc” field, which will be copied to every single outgoing email.

Also remember that if you use Gmail at work or school, the administrator can choose to not admit external recipients in the mode of multiple sending.

How to compose a message

Now you are ready to compose the email. Compose your message and complete the field as you normally would in any email. Google says that when the multiple-sending mode is active, you can enter an email merge tag for example @name, to customize the email for each recipient.

How to send the email

Now that you have created a draft, you can send the email by clicking on Keep on. At this point Google might show a warning:

  • If they are present too many recipients in the Cc or Bcc field
  • In case you have removed the link to unsubscribe. In this case, you can continue anyway or restore it.

If this is your first time using the function, you will see a message which gives you tips to avoid ending up in spam emails, i.e. having the consent of the recipients and following the rules in force.

By clicking on Further information you will find all the information about it. If you put the check next to Do not show again you will not see it anymore. Click Understood to continue.

At this point, a window will appear with the number of any recipients that have unsubscribed (and which you have included, but which will be automatically excluded), in addition to the number total of recipients. Below, you have the option to send you a test email (Send preview) to check that everything is fine.

When are you ready to send the email to your mailing list, click on Send all.

As we have said, recipients will receive emails as individuals, not as groups. Returning to the sender, in the Sent folder will find a single thread, but the replies will be shown in separate threads.
